Minutes Friends of the South Berwick Library March 2, 2010, 6:30pm, South Berwick Medical Services In Attendance: Patti Mitchem, Kathy Landers, Cari Quater, Nora Irvine, Tim Benoit, Karen Benoit, Julie Parker, Charlene Belliveau, John Belliveau, Next Meeting: Tuesday, April 6th, 6:30 PM, South Berwick Medical Services Minutes: February- Motion to Accept Minutes (as amended) by Kathy, 2nd by Karen, All Approve.
President’s Report: • Maine Association of Non-Profits- Upcoming skill builders for anyone interested. • Yearly calendar is updated. o Individuals in charge of events: Karen Eger taking on Book Sale, dates changed to may 1st and 8th. Still need a Bake Sale Coordinator. Charlene interested. o Adding Google calendar to Friends website- Molly unavailable. • Organizational Structure: o Patti and Karen will start a Nominating Committee. Mtg. time to be decided later. o By-law compliance and revision: need to vote on proposed changes at April meeting in order to vote in changes ay Annual Meeting in May. Patti will email any changes for review. o Karen and Tim found an auditing company out of Portland- McDonald, Page and Co.- who may be able to work with Finance Committee. o Cari will update Friends Website. Meet with Patti to work on it. Add “What makes a Community?” Treasurer’s Report: • Year-to-Date Treasurrer’s Report Filed. Nora Motion to Accept, 2nd by Karen, All Approve. • Kathy spoke to Jean Graunke who teaches QuickBooks classes. Jean said she could do back-up for us, and knows of financial people who could help as Finance Committee forms. Library Director’s Report: (via email to Patti) • The plans for the new Library are coming along, and are looking good. New Library Report: • Possible public meeting in May to review plans. • The grant from Southern Maine Regional Planning Commission is for $350,000 (Patti believes), with matching funds of $50,000 from town. Grant requires that work begins by August 1st (Patti believes). This grant will pay for the abatement of water, mold and asbestos issues at the Young St. property. • Community artists will be painting panels to covering the window openings at the Young St. property. We will be able to see the sketches at the April meeting. Kid’s Committee Report: • Meeting in late March, early April. Cari will send Patti date and time to forward to Friends. Library Without Walls: • Press Release for Mr. Ocean evening program (April 7th) for adults will need to be sent to papers by 3/26- Nora. New Business: • Annual Fund Drive: o In mail by end of April o Message, sound bite for envelope, letter to SB residents o Design, Printing: to printer by April 9. Mailing: last year worked from tax list, but quite a job. Not a better return than a saturation mailing. We can still do some targeted with 1st class stamps. o Add 2010 Fund Drive to Front of mailer. Continue with $5 Challenge. Change photo on front of mailer. o Patti will email draft of inside letter to Charlene and John to review. o Consider Donation Levels inside, with a literary spin to them. • The Portsmouth Herald has offered the Library/Friends/New Library Project a monthly column. Amy, the South Berwick reporter, can write it. We can email her with subjects we’d like covered. Tabled: • Support for National Library Month, • Volunteer Week (April 19-25) How shall we recognize Library volunteers? • Mamie’s description of Friends’ role (Passed out at January joint meeting with LAB): o Raises funds to support library programs and goals o Draws from the community o Increases the understanding of, and support for, the library within the community o Generates new ties with the local community For discussion at later date: Are we fulfilling these roles?
